Final Paper Version submission instructions

All Final Paper versions must be prepared in English and with a maximum page limit of six (6) pages (10-points font, Letter size IEEE style). Standard IEEE conference paper templates for both LaTeX and Microsoft Word can be found HERE.

Please consider the following steps for properly submitting the final version of your paper.

1. Update/revise your accepted manuscript

Please make sure to read the reviews of your paper and take them into account for the final revision. Furthermore, make sure that your manuscript is double-checked for typos and language mistakes.

2. PDF Instructions for Authors

Before Creating a PDF

• • Complete copyrights transfer to IEEE.
  • Add the copyright notice to the bottom of the first page of your source document. The copyright notice is available below.
  • Proofread your source document thoroughly to confirm that it will require no revision.

Creating your PDF eXpress Account

Available from August 20, 2025 onwards:

1. Log in to the IEEE PDF eXpress TM site (https://ieee-pdf-express.org/account/login)

2. First-time users should do the following:

• • • Select the New Users – Click Here link.
    • Enter the following:
    • 57913X for the Conference ID
    • your email address
    • a password

3. Continue to enter information as prompted.

4. An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

• • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3315-3901-6/25/$31.00 ©2025 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3315-3901-6/25/$31.00 ©2025 European Union
  • For all other papers the copyright notice is: 979-8-3315-3901-6/25/$31.00 ©2025 IEEE

3. Registration

For inclusion of the Final Paper Version of your manuscript in the conference proceeding (as well as the IEEE Xplore digital library), your paper must be presented at the conference. Therefore, at least one of the authors should register for the conference before the Early-Bird Registration deadline:

September 13, 2025.

4. Completion of the IEEE Copyright Transfer

The IEEE copyright transfer agreement must be submitted electronically via Paper Submission site.  Click on your accepted paper to see the corresponding configuration page. Then use the IEEE Copyright Submission button and follow all next steps to sign the copyright electronically.

5. Upload the Final Paper Version of your manuscript
